Approving a laptop screen sample should leave your purchasing team with a usable decision record. A message saying sample approved can be difficult to interpret weeks later, especially when several panel references or customer projects are involved. For wholesalers, refurbishers, and repair businesses, the record should explain which sample was reviewed, what was checked, and what remains to be confirmed before a bulk order.
We recommend agreeing on the purpose of the sample before it is supplied. Sample availability, cost, and supply terms should be confirmed for the specific enquiry. The workflow below focuses on documenting the decision rather than prescribing technical test methods or universal acceptance limits.
Identify the sample separately from the requested screen
Record the panel reference you requested and the reference the supplier proposes to send. Keep clear photographs of the received label, including any visible suffix or revision information. Give the sample an internal identifier linked to the enquiry and date received.
If the references differ, ask for a written explanation before treating the sample as representative of your requested order. Keep that explanation with the record. A photograph of a label helps identify the sample; it does not, by itself, establish suitability for every laptop in a product family.
Define what the review is intended to establish
Write down the customer project or intended application and the questions the sample review must answer. Assign the relevant checks to staff qualified to perform them using appropriate manufacturer documentation and equipment. Record the checks actually completed rather than copying a generic list and marking everything accepted.
Keep observed results separate from supplier statements. For example, a specification provided in a quotation should remain identified as supplier information unless your team has independently verified it. Mark unperformed checks as pending so purchasing does not mistake missing evidence for approval.
Record the decision and its limits
Use a clear decision such as approved for the stated application, rejected with reasons, or awaiting clarification. Include the reviewer, date, sample identifier, and supporting notes. If approval depends on a condition being met, state that condition in the same record.
A practical approval note might read: Sample S-01 reviewed for Project A; purchasing may proceed only with the confirmed panel reference and written resolution of the open packaging question. This is an illustrative format, not a claim about an actual product or an approval already granted.
Connect approval to the bulk purchase order
Reference the approval record in the purchase order and ask the supplier to confirm the item being offered for bulk supply. List any agreed condition, included components, packaging requirements, and supporting documentation. Clarify whether the offered reference is the same as the reviewed sample.
Ask for changes to be disclosed before dispatch. If a different reference, revision, or condition is proposed, return it to the responsible reviewer instead of treating the earlier approval as automatic acceptance. Keep the updated decision alongside the original record so the reason for the change remains visible.
Retain evidence for receiving and repeat purchases
Store the sample photographs, review notes, supplier confirmations, and purchase order together. Where practical, retain the physical sample with its identifier and follow the applicable handling guidance. Make the approved information available to the receiving team before the bulk shipment arrives.
Sample approval is one purchasing checkpoint. It does not establish that every unit in a later shipment meets the agreed requirements. Maintain a separate receiving and acceptance process, and use any discrepancies to decide whether future sample reviews or order instructions need adjustment.
